Privacy at Miami Time
Effective
Miami Time is the time clock, scheduling and payroll-records system that The Flower Shop group (141Sport / One4One, Eldridge Hospitality / The Flower Shop NYC, and 1300 E7th / The Flower Shop ATX) uses for its own employees. This page explains what it keeps about you and why.
What we keep
- Who you are: your name, email and phone number, your preferred language, and your sex, which some paid leave depends on.
- Your job: your positions, pay rates and hire date, the pay-rate notices you receive and sign, the documents you sign (and anything you fill in on them), and any write-ups.
- Your time: clock-ins and clock-outs, breaks, schedules, availability, shift swaps and trades, time off and leave balances, attendance marks such as a no-show, and tips by position.
- Sign-in: your kiosk PIN, your app username and password, your sign-in security settings, when you first signed in to the app and when you last used it, whether it is installed on your phone, and a record of sign-ins, including tries that failed.
- How the app is used: how many people used the app, how many times the app is opened and which screens are used, counted as weekly totals for each property — never who.
What we never do
- We never track your location. There is no GPS, nothing that tracks your phone, and no photos or cameras at the kiosk.
- We use no advertising, no cookies and no outside analytics tools, and we never sell or rent your information. The app counts how often it is opened and which screens are used only as weekly totals for each property — never who.
- Miami Time does not collect Social Security numbers, bank details or dates of birth. Payroll handles those separately.
Electronic monitoring (New York Civil Rights Law §52-c)
Any and all telephone conversations or transmissions, electronic mail or transmissions, or internet access or usage by an employee by any electronic device or system, including but not limited to the use of a computer, telephone, wire, radio or electromagnetic, photoelectronic or photo-optical systems may be subject to monitoring at any and all times and by any lawful means.
In Miami Time, this means we keep a record of your sign-ins (including tries that failed), when you first signed in to the app and when you last used it, whether the app is installed on your phone, and the questions you type into the help assistant, with your name. Miami Time does not track your location, read your phone, take photos, or see anything you do outside Miami Time.
You will be asked to acknowledge this notice in the app or at the time clock. We keep when and where you acknowledged it.
Why we keep it
- To pay you correctly and on time, including overtime, spread of hours and the other pay the law requires.
- To schedule shifts and handle time off and leave.
- To keep the payroll records New York and Texas law require (New York requires at least six years).
- To see whether the app is useful, from weekly totals of how it is used — never who.
Who can see it
- You can see your own schedule, hours and record of earnings, tips, time off and leave balances, and documents in the Miami Time app.
- Managers and office staff see only what their access allows, for the properties they are given.
- The service providers we use to run Miami Time, and only for that purpose:
- our payroll provider, Paycom, which pays you;
- secure hosting and encrypted backups;
- an email service that sends you sign-in codes and notices;
- an AI service, Anthropic, that runs our daily automated checks. It reads records such as the roster, hours and pay rates through a read-only key.
- The help assistant, where it is turned on, sends the question you type, with the app’s help text and your level of access (for example, whether you are a manager), to that AI service to get an answer — never your name or your records. The question is kept, with your name, in a log the administrator can read. Please don’t type personal details into it.
How we protect it
- Encrypted connections. Miami Time is reached over HTTPS, and browsers are told to use only encrypted connections to it.
- Protected sign-in.
- Passwords are stored only in a scrambled (hashed) form that can’t be read back.
- Repeated wrong guesses lock the sign-in for a while, in the app, in the console and at the kiosk.
- Office and manager accounts in the management console can turn on two-step sign-in (an authenticator app or an emailed code), and the console asks for the password again before sensitive changes.
- The management console signs out by itself after two hours without use.
- Your PIN stays private. No list, report or download shows a kiosk PIN, and the console shows one only when it is first made or typed in, never afterwards; you can see yours in the app. Your payroll code also signs you in at the kiosk, and office staff who handle payroll can see it. The kiosk only works on tablets the office has paired.
- Need-to-know access. Each manager and office user sees only the modules and properties their access allows, and your contact details, dates and leave balances are shown only to the office staff who keep employee records. The daily automated checks we run on the live system use a read-only key that cannot change anything.
- A record of changes. Changes to punches, pay and settings are recorded with who made them and when.
- Backups. The data is backed up every hour, and an encrypted copy is kept off-site.
- Daily checks. Automated checks run every day to confirm the security settings are still in place and that pay still follows the punches.
Your choices
- If something about your time or pay looks wrong, ask for a correction at the time clock (My timecard), or tell your manager.
- To ask what we keep about you, or to correct your contact details, ask your manager or the office.
We will update this page if anything changes.
